20 May Subject Visit Tracking Webinar
A recent audit of Subject Visit Tracking across OnCore CTMS and Epic revealed widespread instances of incomplete or inaccurate visit data. At the request of Research Leadership at Fred Hutch and UW Medicine, the CTMS Program Office will reschedule our previously planned May webinars and hold a special webinar on Subject Visit Tracking in OnCore CTMS on May 22nd at 12pm.
Research Managers and study team members performing Visit Tracking activities in OnCore CTMS are encouraged to attend.
The webinar will focus on commonly seen data entry errors with an emphasis on assuring that data in Epic is accurately reflected in OnCore. Specific topics will include:
- Verifying and Updating Calendar Versions
- Entering Visit dates and marking the appropriate status
- Resetting Calendar Timelines
- Making choices for Procedure Alternative Dropdowns
- Billing Designation Changes based on specific scenarios (S/VAR)
- Paying attention to As Needed (AN) procedures.
- Indicating when results were retrieved from EMR,
- Marking procedures as Missed or Not Applicable (NA)
- Changing the Designation of a Procedure at the time of Visit Entry
- Adding Additional Procedures & Verifying the Billing Designation
- Entering Unscheduled Visits.
